The Inbox Desk

For Maryland plumbing and HVAC companies

Your website form emails you. The Inbox Desk tells the customer you received it.

Add one address to the form notification you already get. Clearly routine new-work enquiries receive a fixed acknowledgment you approved, and you get an alert with the customer's details. No website rebuild, no CRM, no DNS change, nothing new to learn.

For website form enquiries only. Not your phones, not your CRM, not your customer conversations.

Send yourself the live reply

Name and email only. One demonstration email. No list, no sales sequence.

See both sides before you trust it

These are the emails the system sends. Word for word out of the running code, not a mockup.

What you get, at the same moment

From: The Inbox Desk
Subject: New inquiry received
New inquiry for Chesapeake Heating & Air.

name: Dana Whitfield
email: dana.whitfield@example.com
phone: (410) 555-1188

They wrote: Our upstairs unit is not cooling well. Looking for a
quote on a service visit this week.

We sent them a short acknowledgment. Their reply will come to your inbox.

What you get when it will not answer

From: The Inbox Desk
Subject: New inquiry needs your attention
New inquiry for Chesapeake Heating & Air.

name: Ray Alvarez
email: ray@example.com
phone: (410) 555-0142

They wrote: There is a burning smell coming from the furnace when
it kicks on.

We have NOT replied to them. This one sounds urgent or possibly
unsafe, so it needs you to read it and respond personally, now.

No chatbot writes to your customer. The reply is fixed wording you approve.

Nothing goes live until a test passes on your own form.

Unsafe, unusual, unclear, or anything that is not a new job gets no automatic reply at all. It is held and sent to you.

Now send the real one to yourself

"I would like a quote for some work at my home. Please call me when you can."

Your email is used to send this one demonstration. It is not added to a list and you will not receive any follow-up.

This form runs the live pipeline. During a client setup the same workflow uses your business name and your approved wording.

One notification setting changes. Your workflow does not.

  1. You add our address to your form's notifications The same email you already receive now also comes to us. No website changes, no new software, no CRM.
  2. You approve the wording, then we run a live test Nothing goes in front of a customer until that test works on your own form.
  3. Routine new-work enquiries get the acknowledgment Under your business name, in seconds. You get their name, email, phone when the form provides one, and exactly what they wrote. When they reply, it goes to your inbox.
  4. Everything else stops with you Safety concerns, complaints, existing jobs, cancellations, job applications, spam, attachments we cannot read, and anything we cannot make sense of. No automatic reply is sent, and on a possible hazard we do not even offer you a draft to click.

Removing our address from your form notifications disconnects the service immediately. There is nothing to uninstall.

Price, before a sales call

$500 pilot Setup on one form-notification source, your approved wording, and a live test on your own form. The first 14 days are the trial window: if it cannot be kept working in that time, you get the money back. It keeps running after day 14 whether or not you continue monthly.
$250/month if you continue Ongoing monitoring, wording changes, and a report showing what the system did with each enquiry.

You pay only after a live test succeeds on your own form. The 14 days are the refund window, not an expiry date: nothing switches off on day 15, and the monthly fee is a choice you make after you have watched it work.

You will see when each enquiry arrived, when the acknowledgment was sent, and whether it was acknowledged or held for you. I do not report bookings or revenue, because the system cannot verify them.

The pilot is supervised. Replies pause if the processing computer is off or asleep. Under tested outage conditions the original notification stays available for retry, and an independent monitor alerts me if processing stops.

Already have ServiceTitan, Jobber, Housecall Pro, or anything else replying to web enquiries? Keep it. The Inbox Desk is for the gap between the form you already have and an inbox nobody is watching.

Who runs it

Built and operated in Glen Burnie by Will Portillo. I set up and monitor every pilot myself. Call me directly on (667) 487-2266.

Enquiry details are stored for duplicate prevention and timing reports. Names, email addresses, phone numbers and message text are removed automatically 90 days after the enquiry, leaving a dated record with no personal detail in it. Nothing is sold or used for marketing. Ask me to remove a customer's details sooner and I will, and tell you when it is done. The one exception is an unsubscribe, which is kept permanently, because that is what makes it stick.
